Welcome to the last board meeting of the year!

INTERNAL BUSINESS
1. Recent Event Debrief:

  • AOTA Conference2 key points: 
    • Fostering a Diverse field of occupational therapists,
    •  OTs in primary care 
  • Swim with Mike: Success! There were 55 participants and USC OT raised $1,170, wonderful for the first year of fundraising for OT!  USC as a whole raised over $1 million!
  • KinesiotapingGreat turn out, a little over 20 people- thinking about doing it again.
  • International ForumMore people showed up than RSVP’ed, maybe hold outside next year.
  • T-Shirt/Tote Bag Sales: Can we do this for summer? Going to buy extra shirts and totes to sell over the summer and at graduation, 56 clipboards sold, 65 purchased (profit of about $825).
2. With the end of the year rapidly approaching, find a time to meet with you counterpart and update your “Council Duties by position” folder. The co-chairs will be reviewing folders on May 2nd. Things to include:

  • Important dates/deadlines
  • Samples of work you’ve done
  • Events related to your position
  • Names/phone numbers/email addresses of important contacts

COUNCIL ITEMS
1) AOTA (Colin & Phillip):
Discussion
  • AOTA Conference, April 3-6, Baltimore, MD: An incredible event! For pictures, see https://www.flickr.com/photos/aotainc/sets/72157643705278014/
  • OT Float in 2017 Tournament of Roses Parade in Pasadena: An excellent opportunity to be globally connected, as this parade is on television all around the world where MILLIONS of people will be watching! Goal: To raise money for the float. We need about $300,000 by March of 2016.
  • There was a booth at the AOTA conference promoting the float, over $1,700 raised.
2) Faculty Liaison (Kristy & Jen S.):

Update

  • The next faculty meeting is on 4/25. We will be showing the promotional video for Such Great Heights and encouraging the faculty to attend
  • At the last faculty meeting, we brought up the student lounge/lockers idea and got a nondefinitive response. We think this will need to be an ongoing conversation with the faculty as we work to figure out the best way to address this student request.
3) Fundraising (Lori & Kristina):
Update

4) GSG Senator (Cindy & Casey):

  • Last senate meeting of the year is next Monday, April 21
  • HSC Fitness Center open Sundays in April & May, 9am - 1pm - Pilot Program!!!
  • Intercampus shuttle weekend schedule extended through end of spring semester
  • GSG Happy Hour at the Standard in DTLA on May 1, 5 - 7pm
5) Historian (Leila & Amanda):

  • We are now accepting photos for the slideshow. Please make an effort to send these photos by Friday, May 2, 2014. You can share photos via the following ways:
    • Email: uscot.photos@gmail.com
    • Facebook: Friend “Tommy Jan” aka Trojan Historian! Find us with the email uscot.photos@gmail.com. Once we are friends you can just share the album or tag “Tommy Jan” so we know what photos to use. OR
    • Like our Facebook page “OTSC Trojans” and share photos through there.

6) International Affairs (Monica):
Update

  • The International Forum went well! Over 50 people attended, and there was a generally good response from everyone! If next year there is the same response, we are considering holding it outdoors for more room and needing more food. A HUGE thank you to everyone that spoke, participated, helped out, and attended!
7) OTAC (Alyssa & Carlos):

  • OTAC Flash issue 5 is out! See it in the mail room on Facebook or list serve.
8) PhD Representative (Kristine):
Update
  • PhD students cannot attend the End of the Year Party due to the OT Summit in Philadelphia  - but we wish everyone well and to have fun!
9) Philanthropy (Jonathan & Megan):
Discussion

  • The role of philanthropy within OTSC: Fundraising for and giving back to the larger community (outside the division): annual class gift? What is the role of OTSC in raising money for organization outside of the division?
  • Swim with Mike
    • Swim with Mike 2014 was a huge success!
    • 55 total participants in the pool
    • Grand total raised by the USC OT team: $1,170.00! (18 backers)
    • Reimbursement for Swim with Mike total: $83.89. The board held a vote. Next year we should plan to vote on this item before an event. Unanimous vote in favor of reimbursement.

  • Charity Miles

    • Charity Miles is ongoing for the whole month of April, so please remember to remind our classmates to keep racking up and tallying their miles!
    • Vote for International Forum reimbursement of $50- unanimous vote in favor of reimbursement

  • Do we cover $8 parking? Next year- we need to come up with guidelines on where to draw line for reimbursement in the future
  • Do we want to make the upcoming bed/furniture donations (under Alyssa’s lead) an official OTSC event and therefore use funds for reimbursement of travel funds
10) Professional Development (Karen & Stacy):
Update
  • Hike with Dr. Roll and Dr. Leland on 4/19

  • Happy hour with Drs. Daley, Bream, Kingsley, Halle, and Snyder on 4/22
  • Small dinner with Dr. Neville-Jan on 4/23
  • Sign-ups have been emailed out-- looks like the events will have good turnouts!

    • Discussion of changing event location for 4/28 to Barbara’s
    • Should we cap event at Barbara’s at 4/22? Undecided
11) PTE Representative (Jen S):
Update

  • PTE is hosting a lunchtime presentation on the Affordable Care Act on Monday, 4/28, from 12:00 – 1:00
  • Look for more details in an email from Dr. Gray this week
12) Secretary (Leah & Laura):
Update
  • Both Leah and Laura will miss today’s meeting. Molly will fill in as secretary during that meeting.
13) Social Chair (Kristin & Clarissa):
Update

  • Intercollegiate Mixer
    • When: Friday, April 25th at 12:30pm-4:30pm

  • End of the Year Party: Such Great Heights
    • When: Saturday, May 10th, 6:00-10:00PM

How does funding work?


    • If you want to receive funding for any event, please fill out the funding request form here:
    • It takes approximately 4-5 weeks to obtain funding for events, so please submit the requests EARLY
    • The Treasurer submits the proper forms to obtain the funding from GSG, other members do NOT do this, so please communicate with the treasurers to get your funding from any source
    • If you need help finding a vendor (restaurant, office supply store, party store, etc.) for the items you need for the event, here is a list of commonly used, approved vendors by USC:
    • If your vendor is NOT on the list, please let us know so we can contact purchasing and ask for approval or see if they are already on the vendor master list
