November 3, 2014

Welcome!

Internal Business:

I. Last meeting of the semester is on:
  • Monday, November 24th at 5:00 p.m.- 6:30 p.m. in CHP 109

II. “Council Duties by Position” Google Doc- Nov 3 deadline. Please update ASAP.

III. Recent Event Debrief
  • Suggestion Box - Going great! Receiving both positive and negative feedback. Presenting list of student concerns to Dr Neville-Jan this week.
  • T shirts
  • 10/16-10/19 OTAC Conference - Next year’s meeting is in Sacramento. Feedback on this year’s conference discussed below.
  • 10/24 OT, Pharmacy, Public Health, & GSBE Mixer for Breast Cancer Awareness Month - The event was a bit last minute.
  • 10/27 OT Global Day of Service - Great turnout for 5k walk. There were about 3-5 people at each event (9 events total).
    • Open to discussion to make it more effective and increase future participation - have teachers get involved (make announcements to classes), carpool, and advanced notice. There will be newsletter in December highlighting peoples experiences. Photo’s will be posted to our social media pages.
  • 10/09 Faculty Happy Hour at Barbara’s @ the Brewery - Big turnout.
  • 10/27 Faculty Happy Hour at Urth - More intimate than Barbara’s. This was an opportunity to get to know faculty that we don’t usually get a chance to meet.
  • Smoking Cessation Program - Had multiple volunteers. Very willing to learn from the OTs and our volunteers learned a lot.

IV. Effectiveness of OTSC Newsletter
  • Display on bathroom stalls, on board in mailroom
  • Display on powerpoint before lecture starts
  • Distribute over other mediums - video, post on Facebook
  • Make it more visually appealing, more social
  • Change subject line of e-mail

V. Committees - Do we want committees?
  • International Forum - Yes
  • Fundraising - No
  • International Forum - TBD
  • OT Month - Yes. Volunteer to spearhead OT Month Committee TBD.
  • End of the year party - Yes

VI. Spring Dates (1/12- 5/1)
  • More difficult to plan meeting and events due to 2nd years’ class schedules - It’s important to check your emails and for 1st and 2nd years to communicate to figure out dates that work for everyone.
    • January 19th: MLK Day
    • February 16th: Presidents’ Day
    • February 23-27: 1st years full week of fieldwork
    • March 2-13: 2nd years externship
    • March 16-21: Spring Break
  • Next semester, it is even more important to have effective communication between 1st and 2nd years on the board
  • Tentative meeting dates:
    • Monday, January 26th 4:30-6:00
    • Monday, February 9th 4:30-6:00
    • Monday, March 23th 4:30-6:00
    • Monday, April 13th 4:30-6:00

1) AOTA (Phillip & Ann):
Update
  • 2017 OT Centennial Vision Float: AOTA and OTAC aim to promote occupational therapy via a parade float during the 2017 Tournament of Roses in Pasadena as a way to celebrate the profession's 100th birthday! With over 47 million television viewers, the Tournament of Roses is an excellent way to increase awareness of OT. (http://otaconline.org/index.php/2017-ot-centennial-rose-parade-float)
  • AOTA Student Conclave in St. Louis, Missouri: This conference will help students attendees learn about many topics such as Academic & Fieldwork Education, Children & Youth, Health & Wellness, Mental Health, Productive Aging, and Rehabilitation/Disability/Participation.

2) Faculty Liaison (Kristy & Doug):
Update
  • Suggestion box feedback is going great!  Online venue is working much better than just email and paper slips.  Encourage peers to continue to share feedback with us. Bringing list of student concerns to Dr Neble Jan this week.
  • OT Float in 2017 Rose Parade - Designate one person from each cohort to notify class members to donate $2 each.

3) Fundraising (Lori & Amy):
Discussion
  • Vote on design for Tumblers/Cups - I <3 OT design chosen
  • Interest in other ideas for fundraising events?
    • Dinner night (CPK or Yard House) and bake sales- Dates TBD

  • Merchandise Sales End this Thursday, Nov 6th by 7:00pm
  • If people can’t find the design images, please let them know to look on the the second tab of the Sales Order form (on google doc link).
4) GSG Senator (Cindy & Patience):
Discussion
  • Student lounge - Currently discussing locations. Suggestions for lounge - Outlets, comfortable seating, nice lighting.
  • Does everyone receive the HSC Weekly Update emails?
    • Don’t always see the emails or don’t look at them
  • Is it helpful for me to post the upcoming activities here?
    • Helpful to post in the bathroom, mail room or throughout the building

  • Thursday, 11/20 6:00 pm, Seaver Dining Hall.  GSG HSC Thanksgiving dinner - all are welcome, raffle prizes will be given out.

5) Historian (Leila & Heather):
Update
  • Finalizing the schedule/rm for Cohort Photos: November 17th-20th, 12pm-1pm
  • Will be sending an email to notify students
6) International Affairs (Monica & Sarah):
Discussion
  • Spanish Night Funding: Spanish Night offers students an opportunity to practice Spanish skills as well as collaborate with peers and faculty. It is co-hosted with the Latino Occupational Therapy Association (LOTA) and is on Thursday, Nov 6th from 5-7pm. You don’t need to be fluent! All levels are welcome. Also a social event to get to know our faculty and discuss the importance for Spanish speaking in the workplace.
    • To show our gratitude for their participation, we are asking for a vote to allocate funding to cover meals for the faculty (Dr Gray, Dr. Blanche, Dr. Diaz, and Dr. Martinez). $100 total for faculty - approved.
    • Be aware that the last chance to RSVP for Spanish Night is Nov 3 at 11:59 pm!

7) OTAC (Carlos & Jodie):
Discussion
  • Feedback from OTAC Conference
    • Likes/Dislikes
      • 1st half of Saturday was a bit lackluster. Need more info sessions on mental health.Too much emphasis on fine motor. Possibly have presentations on specialty areas. Liked that there were so many different sessions. Contact Carlos with additional input.
    • What would you like to see in the student track for Spring Symposium 2015?
      • Lacked concrete information for students. Next year provide information/sessions for the students that are similar to the professional OT topics. Provide different sessions based on level of experience (level I fieldwork experience vs level II, etc).

  • OTAC Spring Symposium will be March 21-22, 2015 in Anaheim at the Disney Paradise Pier Hotel
  • OTAC Flash November issue will be sent out within the next week

8) Philanthropy (Jonathan & May):
Update
  • OT Global Day of Service went well this year with 9 different events for people to choose from.  A google docs flier was sent out through listserv and 1st and 2nd year facebook groups.  OTGDS was done over two weekends this year to provide more opportunities!
  • Sunday, November 9th-
  • Potential opportunities with Reading to Kids
  • Currently discussing and planning fundraising opportunities for Fund it Forward
  • Upcoming event: Amtryke/Pedal Pushers Build an Adaptive Tricycle Workshop!  
    • Sunday 11/9 8:30 - 10:30 am. Event with Amtryke an organization that provides adaptive tricycles for all ages and disabilities.
    • Please help us promote and encourage your classmates to get involved! Contact Jonathan about carpooling.

9) Professional Development (Karen & Rachel):
Update
  • Sunday, 11/9: Interdisciplinary Health Fair from 10am-2pm at the Boys and Girls Club in Pasadena. Volunteer sign-ups are full.
  • Tuesday 11/18: OT students leading session on triggers/temptations at the Smoking Cessation Clinic
  • Sunday, 11/23: Faculty/student potluck at 2pm with Dr. Jesus Diaz, Dr. Celso Delgado, and Jane Baumgarten at Dr. Diaz’s home. Sign-ups will be sent out soon.

10) PhD Representative (Kristine):
Update
  • Kristine Carandang will be at the PhD information session on 11/03. If anyone else would like to discuss the PhD experience, we can think about other ways to have PhD students and Masters students socialize. We also may be able to distribute a list of contact information of PhD students with various mentors that would be open to having Masters students contact them. I offered my e-mail address last year but didn’t get any replies. Just let me know if this is something we are interested in!

A few reminders:
  • If you have an update, please write exactly what your update is with important details. That way it can be included in the minutes and posted on the blog. Thank you!
  • Be sure to spell out abbreviations so everyone knows what you’re referencing.
  • Include dates and times for OTSC events so that we can add them to the calendar and make sure they make it onto the Division calendar as well.

How does GSG funding work?
  • It takes approximately 4-5 weeks to obtain funding for events, so please submit the requests EARLY
  • The Treasurer submits the proper forms to obtain the funding from GSG, other members do NOT do this, so please communicate with the treasurers to get your funding from any source
  • If you need help finding a vendor (restaurant, office supply store, party store, etc.) for the items you need for the event, here is a list of commonly used, approved vendors by USC:
