OTSC Meeting Agenda & Minutes 
Monday, September 23, 2013


Greetings and Salutation
  • Review names and positions
  • Introduce Dr. Pitts, Faculty Advisor

Internal Business:

I) Agenda format and updating
  • Do not forget to update the agenda with discussion items (to be discussed at the meeting) and updates (not to discuss at the meeting- be sure to write exactly what you need to communicate so others can read the information on the agenda)
II) General professionalism and etiquette: (emailing, written communication,etc.)
  • Everyone on the board is welcome to use OTSC email account, but please make sure emails are professional. We represent USC at all times, especially when communicating using the OTSC email account.
  • When contacting faculty, identify yourself and your position on OTSC.
    • Be sure to check the OTSC email account because people will respond to that address.
  • Remember that everything is seen by faculty even if it’s not sent out to the faculty listserve.  
  • Do not flood everyone with emails. Send out emails that are rich with information. Combine emails if at all possible.
  • All emails sent out go through Jordi Oshiro for approval. They are not approved over the weekend, so a lot of emails are sent on Monday morning. You may want to save an email for Monday night if you don’t want it to arrive along with a lot of other emails.
  • Jen W. will be sending out an email next week with infromation (such as save the date for events we discuss) so if you would like something to be mentioned in this email then please email Jen and let her kno

III) Remember that the OTSC Calendar is embedded into USC OT website and is public information

IV) Meeting dates and locations for the semester:

  • Monday, November 4th at 5:00 p.m.- 6:30 p.m. in CHP 109

V) Be aware for evening meetings: CHP automatically locks at 6pm. When you leave after that time you will not be able to get back in. Contact DPS if you get locked out of the building.

VII) Create committees related to your position on OTSC.
  • Send Jen an email if you would like to create a committee.
  • Do not feel limited to exactly what was done last year. Be creative!
  • Everyone in the program is encouraged to participate in OTSC committees.
    • Remember, all OT students (BS-MA, MA1, MA2, OTD) are part of OTSC!
VIII) Council Duties by Position - Google Docs
  • Update/edit the google doc by the next meeting. Second years can guide the first years through this process.
    • List important contacts
    • Steps taken to achieve goals
    • Sample flyers
External Business:
  • Dr. Rafeedie, one of our faculty advisor, sent this information during the summer about Boardroom to Classroom (B2C).
    • The goal of B2C is to connect future occupational therapy practitioners to AOTA leadership one classroom at a time. This is achieved through an hour-long Q&A session (via teleconference) with AOTA members about a chosen topic.
    • OTSC discussed logistics for involvement with B2C, including specific topics, having prepared questions to ask presenter, hosting the B2C during OTSC meeting or another time when it is open to all students
  • OT Representative to the Student Health Center: It is a committee that meets once every month or two to discuss student concerns. 
    • Dr. Pitts explained that this position is part of an effort to bolster the connection between students and the health center

Council Items:
1) AOTA (Colin & Phillip):

Discussion
  • Brown Bag Lunch/Info Session 
    • Geared towards spreading information and awareness of AOTA
    • Discussed hosting two brown bag lunches on different days so that all cohorts have a chance to attend
  • Important Events/Dates to Remember:
    • Hill Day 9/30 Washington, DC
    • Student Conclave 11/15 & 11/16 Jacksonville, FL
    • Specialty Conference - Adults with Stroke 12/6 Las Vegas, NV;
    • April is Occupational Therapy Month! - Start thinking about what you would like to do.
    • Annual Conference & Expo 4/3/14-4/5/14 Baltimore, MD.
  • AOTA has reached a milestone of 50,000 members
  • Discussed brainstorming ideas of OT month in April. Bring ideas to next meeting
2) BS Representative/Ambassador Representative (Kayla & Liz):

Update
  • Liz sent out an e-mail to the BS to MA students to welcome them into the program and to be a resource for them if they have any questions
  • Facebook group for the BS to MA students in order for Liz and Kayla to address any of their concerns
  • We are still brainstorming ways to help integrate the BS to MA students with the rest of the students better
3) Faculty Liaison (Kristy & Jen S.):
Discussion
  • News from first faculty meeting: promoting Student Run Clinic (SRC): interdisciplinary program where students from all health professions at USC come together to provide health services
    • Promoting fundraising fleeces to faculty and staff ($50)- so help spread awareness!
    • The faculty has been incredibly willing to respond to issues as they arise. Please let students know that the faculty is responsive, and wants to ensure that we have a positive experience.
    • Please let us know if there is any positive feedback to share with the faculty. They would be happy to hear it.
  • Faculty Mentoring Program
    • Opportunity to have a mentor to establish a more personal connection with an OT faculty member
    • We may encourage students to attend faculty dinners that you individual mentor is hosting.
    • If you hear student concerns let them know the purpose of this program and that it is not mandatory they meet with their faculty mentor but is a great way to ask questions and get answers.
4) Fundraising (Lori & Kristina):
Discussion
  • Organization to donate funds: If you have an idea for an organization that we can support, please let OTSC fundraising chairs know.
  • Tentative Fundraising ideas:
    • October:
      • OT t-shirts - we will have a two-week open period for t-shirt  ideas
      • Pumpkin carving contest,
      • Mummies/sticky fly
      • Faculty dinner paired with fundraising - Which restaurants will match funds?
    • November: “I am thankful for...” bake sale
    • December: Gingerbread houses, talent show, finals care packages
5) GSG Senator (Cindy & Casey):

(We are both at the GSG Senate meeting on UPC tonight)
  • Notes from 9/17 HSC sub-committee meeting:
    • Travel grant deadline for summer travel is October 1, 2013.  Reimbursement available for conference travel during Summer 2013 up to $500 annual for presentors and approx. $200 for non-presentors.
    • Three new microwaves have been ordered for the Seaver cafeteria (located between Starbucks and USC Credit Union).
    • Movie nights at the HSC campus will begin in October.  Time and dates TBA
    • Several exciting community events in the planning stages.  Details will be forthcoming.  Tickets and announcements to be posted two weeks prior to event date.
6) Historian (Leila & Amanda):
Update

  • Leila has become one of the Admin’s for the FB page.
  • Setting up an Instagram under the name USCOSOT, but may change it to USCOT.
    • Would like feedback on the name, I would like to keep it the same across all social media platforms. (I saw this name on the twitter account)
  • Will be setting up a Dropbox as another media platform for others aside from the historian to upload photos. (Would like to know what name I should set it up as)
7) International Affairs (Clara & Angela):
Discussion

  • Setting a date for International Forum - sometime in April, date must be approved by Kim Kelton
    • Finding presenters -- internally? outside school?
    • Food -- will ask for support from local communities. Incentivize.
      • discussed receiving donations from community vendors to get a variety of international food (often times businesses donate to school organizations especially USC)
      • Feedback from second year students
      • Follow-up with Erna Blanche about ideas for making this event a success (increasing attendance, improving marketing)
8) OTAC (Alyssa & Carlos):
Discussion

  • Spread the word! The late fee for students is waived until October 1st (student track only) Here are the prices for the conference:
    • Fri,Sat, Sun (w/ lunch) - $139
    • Fri,Sat - $79
    • Fri, Sun (w/ lunch)- $109
    • Sat & Sun (w/ lunch) -$109
    • Fri only - $45
    • Sat only - $45
    • Sun only (w/ lunch)-$89
  • Tentative Guest Speaker lunch event - Luis Arabit on Advocacy day and opportunities for student involvement in the OTAC Advocacy and Gov’t Affairs Committee. Week of 9/30
    • Still waiting to hear from the division about funding for the lunch
    • Council voted not to use OTSC funds for this lunch.
  • Collaboration with other OTAC delegates to produce an inter-collegiate OTAC Flash is in the works.
  • Volunteers needed for the OTAC Conference (Registration Desk, Door/session monitor, Exhibit Hall, Greeter/Host/Escort and OTAC Booth)  
    • Register online 
    • There is no additional discount for being a volunteer. Do it because you care. It’s a great way to start your involvement.                
9) OT House (Cindy)

  • First Engage meeting will be held this Tuesday, September 24th in the first floor lounge.  This will be an informational meeting.  Open to all OT students!
10) PhD Representative (Kristine):
Update
  • There are 5 new PhD student in the department: 2 working with Dr. Clark, 1 with Dr. Lawlor, 1 with Dr. Aziz-Zadeh, and 1 with Dr. Pyatak.  Feel free to send any of us an e-mail if you have any questions or concerns!

11) Philanthropy (Jonathan & Megan):
Update
  • SAVE THE DATE! Sunday October 23 is OT GLOBAL DAY OF SERVICE in honor of WORLD OCCUPATIONAL THERAPY DAY
  • Stay tuned for ways you can get involved in our Los Angeles community, or find a service project that is meaningful to you!  
  • Last year OTAC sought USC volunteers who participated in OTGDS for a blog piece -- it's a great day / way for advocacy!

12) Professional Development (Karen & Stacy):
Discussion

  • We have started to plan the faculty/student events
    • 3 in Fall/3 in Spring
    • 3-4 professors per event with about 15 students
    • Option: Pairing faculty liaisons with students as designated. 
      • Decided not to make the dinners restricted to students and their specific faculty advisors but students will be encouraged to attend when their faculty advisor is at the dinner
      • We need OTSC support for events. Please be sure to come to events.
      • We will focus on those teaching in the professional faculty and tenure track faculty.
      • Tentative dates:

13) PTE Representative (Jen S):

  • PTE at Cal State Dominguez Hills is hosting a speaker this Thursday, Sept 26: Gary Karp
    • He will share his experience of living with a disability

  • When you attend interdisciplinary events, be sure to educate others about the OT.
  • Details for both to come!
15) Treasurer (Molly & Mazelle):
Discussion
  • Voted to use $20 of OTSC funds to purchase glow sticks for indisciplinary mixer. The glow sticks can be used as wristbands to identify PT and OT students in the club.



How does funding work?
  • It takes approximately 4-5 weeks to obtain funding for events, so please submit the requests EARLY
  • The Treasurer submits the proper forms to obtain the funding from GSG, other members do NOT do this, so please communicate with the treasurers to get your funding from any source
  • If you need help finding a vendor (restaurant, office supply store, party store, etc.) for the items you need for the event, here is a list of commonly used, approved vendors by USC:
