Internal Business

  1. Fall 2015 Meetings - Mondays from 5:00-6:30pm in CHP 112 (Attendance is mandatory; email Co-Chairs if you have to miss. Spring meetings TBD)

  2. Upcoming Events:
    • Sept. 26 - Student-Run Clinic Annual Health Symposium
      • Good opportunity to get idea of department happenings
    • Oct. 3 - NAMI Walk (5k)
      • Check-in 8:30am. Walk starts at 10am (plan to stay 1-2 hours)
      • Location: Grand Park Downtown LA
      • Wear green!
      • Link on Facebook to donate and join our team
    • Oct. 27 - OT Global Day of Service
      • Day to promote OT through community service

  3. Recent Event Debrief:
    • Sept. 20 - Fall Leadership Retreat
  4. Agenda Format: should be completed by the Sunday before our meeting
    • Updates: Please write exactly what you want to be included in the minutes.
    • Discussion items: We usually allot 5 minutes to go over each discussion topic.
  5. OTSC Email/Google services
    • Gmail:  
      • Access: everyone can use it, but keep login info private!
      • Etiquette:
        • Keep emails professional! Everything can be seen by everyone on the council. Other business may be handled on Facebook.
        • Sign emails with your name and position on OTSC.
        • Remember to check back in to the inbox for responses.
        • Try to limit the number of emails sent.

  6. Committees
    • Fundraising
      • All help is welcome!
    • International Forum
      • April during OT month. Speakers with international experience discuss their practice in the field
      • Planning will begin Spring semester
      • Contact Sarah Chang if you would like to help
    • OT Month
      • Events aimed at raising OT awareness
    • End of the Year Party
      • Last year’s theme: OT the Places We’ll Go!
      • Planning will begin in October
      • Need help spreading the word, fliers, announcements, ticket sales
  7. Creating OT Student Organizations
    • The creation of new student organizations by OT students must be under OTSC, which serves as the umbrella organization for all OT organizations (i.e. PTE, LOTA). These organizations would have access to funds through OTSC. If you would like to create an organization, talk to Dr. Pitts and Dr. Rafeedie.
    • If you’re interested in starting a student organization talk to our faculty advisor

COUNCIL ITEMS BY POSITION


1. Faculty Liaison (Doug & Auston)
UPDATES:
    • The faculty is excited about our new OTSC members. Meeting dates for this year have been communicated. I will coordinate with Auston since I have fieldwork on two of those meeting dates in October and November.

2. Fundraising (Amy & Carolin)
UPDATES:
    • We are currently working on finding a vendor for merchandise sales. We would like to put an order in within the next 4 weeks. We will be sending out an email with regards to electing for a shirt design.
    • Request money for merchandise sales

3. GSG Senator (Patience & Kaitlin)
UPDATES:
    • We attended the first Senate meeting of the semester last week! Please let us know if you have any concerns about campus climate, policies, or if you have anything else that you would like to see changed around campus.
    • Check GSG emails for event updates

4. Historian (Heather & Evelyn)
DISCUSSION:
    • Which events are important to document? Reminder to send photos to historians to use for end of the year show and social media for the Division.
UPDATES:
    • Update everyone on what our role will look like this year.

5. International Affairs (Sarah & Ken)
UPDATES:
    • International buddies were arranged through the department, the kickoff event was on August 26th.
DISCUSSION:
    • Contact Sarah with any international affair events or ideas
    • Past programs: Pen Pal Program, Global Initiatives

6. MA-I Representative (Shreya & Arielle)
UPDATES:
    • Strengthen representation of international students
    • Collaborate with international affairs on campus

7. OTAC Representative (Jodie & Erwin)
DISCUSSION:
    • Aim to raise student involvement in OTAC
    • OTAC Region 2 Social Event on Nov 12th @ 5:30PM, bowling alley *TBD
      • schools attending: CSUDH, West Coast University & LLU
    • Anyone attending OTAC Conference who can volunteer at the OTAC Centennial Vision float booth with Dr. Bream to raise money for our 2017 Rose Parade float? Contact Jodie or Erwin if you would like to volunteer.
UPDATES:
    • OTAC Conference on Oct 22-25 in Sacramento, CA!
    • OTAC Tea with a Scholar on Sept 27th from 11AM-2PM @ OT Center for Lifestyle Redesign
    • Newly elected Region 2 Director: Dr. Celso Delgado!

8. Social Chair (Jen & Benz)
UPDATES:
    • We need 2-3 volunteers per tailgate to help out with set up & clean up. Please contact one of us if you would be willing!
      • Involves arriving 2-3 hrs early to set up or stay one hour after to help with cleanup

9. OT House Liaison (Dana)
DISCUSSION:
    • Possibility of hosting events at the OT House this year. Contact Dana with any potential requests

10. Philanthropy (May & Jamie)
DISCUSSION:
    • We are interested in sending out a survey to the student body to get a better understanding of what people are looking for in terms of philanthropy events. If there are any other positions that would like to add items to this survey please let us know and we could include everything in one survey.
      • Send out survey at the next meeting so other co-chairs can have time to think of questions  
UPDATES:
    • Currently in the process of planning OT Global Day of Service for October 27th.

11. Professional Development (Rachel & Allison)
DISCUSSION:
    • Proposed budget of $200 to be voted on for sandwiches, drinks, and a speaker gift provided for the Oct. 5 Rehab in Oncology lecture (more details to come). The invitations to OT, PT, and faculty will go out in the next few weeks so we do not have a head count yet. Any and all leftover funds will be returned after the event.
UPDATES:
    • Currently in process of scheduling several student/faculty informal meet-and-greets, a Post-Grad resume/interview panel, and a student body interest survey

12. PTE Representative (Maggie)
UPDATES:
    • Sign up for the mentor-mentee program! Your mentor will provide you with invaluable information regarding fieldwork, classes, and much more!
    • OT Extravaganza (Spring Semester)- Last year covered OT in primary care
    • Good to go to these events if interested in PTE

13. Secretary (Kate & Katie)
UPDATES:
A few reminders:
    • If you have an update, please write exactly what your update is with important details. That way it can be included in the minutes and posted on the blog.
    • Be sure to spell out abbreviations so everyone knows what you’re referencing.
    • Include dates and times for OTSC events so that we can add them to the calendar and make sure they make it onto the Division calendar as well.

14. Treasurer (Belle & Shannon)

UPDATES:
    • Approach the Treasurer’s early if you need funds in the future!
    • Send Treasurers an itemized receipt to get reimbursed. Submit one receipt to Jordi and a copy to Belle and Shannon.

How does GSG funding work?
  • If you want to receive funding from GSG for any event, please contact Belle and/or Shannon
    • Information required:
      • Contact Name
      • Email
      • Event title
      • Event date
      • Type of Event (Joint programming, philanthropy, OT only, Discretionary (i.e. lunch presentations, neighboring OT schools)
      • Project budget needed
      • Supplies needed (food, tables, etc)
      • Vendor(s) name with phone number and address

  • It takes approximately 4-5 weeks to obtain funding for events, so please submit the requests EARLY
  • The Treasurer submits the proper forms to obtain the funding from GSG; other members do NOT do this. Please communicate with the treasurers to get your funding from any source.
  • If you need help finding a vendor (restaurant, office supply store, party store, etc.) for the items you need for the event, here is a list of commonly used, USC-approved vendors:
