  1. Fall 2015 Meetings - Last meeting of the semester is November 23rd from 12:00-1:00pm in CHP 112

  1. AOTA ASD Representative (Kelsey & Hong)
UPDATES:
  • We’re back in the Gold Circle of AOTA membership!
  • AOTA/NBCOT Student Conclave in Dearborn, MI - November 18-19
    • Kelsey will be attending and presenting
  • Student Centennial Video Challenge
    • Winner gets on AOTA’s website!

  1. OTAC Representative (Erwin & Kaitlyn)
UPDATES:
  • OTAC Conference
    • Feedback: Need more advertising for activities with the conference. The cost did not equal the value of the conference (especially for student tract). Potentially have OTAC send out feedback form
  • Halloween Candy Grams

DISCUSSION:
  • Fundraising for OTAC Centennial Vision Float

  1. Faculty Liaison (Auston & Wesley)

UPDATES:
  • Another OTSC Suggestion Box Email will be sent mid November
    • Meeting with Dr. McLaughlin Gray at the end of the semester
  • Checking Feedback in OTSC Suggestion Box

DISCUSSION:
  • Brown Bag Lunch, November 28th Discussion about having the event even though it will conflict with our upcoming OTSC Meeting be held at the same time
    • Potentially vote for which event to hold

  1. GSG Senator (Kaitlin & Katherine)
UPDATES:
  • Sandwich making event was a big success! Thanks to all who came!

DISCUSSION:
  • We Run the City 5K November 20th...sign up!
  • HSC GSG initiative to be more aware of diversity and inclusion issues
    • Adding HSC GSG Director of Diversity to board
    • Consider adding one to OTSC board?
  • HSC Thanksgiving Dinner November 17th

  1. International Relations (Ken & Phil)
UPDATES:
  • World OT Day success at Angel City Brewery! Around 20-25 MA-I and MA-II students showed up throughout the night, including Professor Danny Park!  
  1. Fundraising (Carolin & Eddie)
UPDATES:
  • Sweater Design chosen - submission to two places in progress once files are received within next day or two.
  • Fundraiser - Souplantation - set for November 19 and 20.  Attend at anytime between 11AM and 9PM.  Remember to bring flyer for fundraiser!!!
    • Anyone can go -- details to be given out through listserv.
  • Fundraiser - Factory Tea Bar - Their preferred days are Wednesday or Thursday from 3-7PM.  That likely does not work with us.  In contact about extension of times and possible changes of days.
  • Fundraiser - Cha Cha Chili - not likely to happen - doesn’t seem like they will be able to net us much for a fundraiser and contact response is scarce.
  • Venue for talent show - waiting for response from Renee Soto (was away on trip till last Friday)
    • Looking into Arresty Auditorium
  • Alex and Annie bracelets will be sold next Monday Nov 14th during lunch, PATIO

DISCUSSION:
  • Vegas Trip - possible fundraiser through raffle - a possible $5-$10 on top of how much Vegas will cost for raffling of prize
    • Possible prizes (ideas are welcomed): Gift cards, Bottles of liquor
    • Possibility of consolation prizes?
    • Possibility of $1 for +1 raffle tickets?
    • If we do a raffle, make it voluntary!

  • Collaborating with Faculty Liaisons to plan Nov 28th Brown bag lunch (discussion regarding date conflicting with OTSC meeting)
  • Mental Health guest speaker Nov 21st, email to follow
  • May have speaker for Albert Schweitzer scholarship
    • Get a thank you card and/or gift

UPDATES:
  • Booking Hotel rooms at the Flamingo
    • Deadline to sign up for rooms Nov 13 and to pay November 28
    • $306/room for Fri & Sat nights
      • 2 queens per room
  • OT/PT Homecoming tailgate was a success!
  • E-mails are not allowed for updating events. Updates will be provided via Facebook and through representatives for each cohort.

    • 2 ways to access money: pay up front/get reimbursed or purchase order
    • Pay Upfront & Get Reimbursed
      • Step 1 Get approval from OTSC through vote
      • Step 2 Submit the following to Erika Tan (via email or in person)
        • Itemized receipt
          • With business name, date, item(s) purchased, price of each item, total amount of bill, method of payment
        • Non-Travel Expense Report
          • Department
          • Business Purpose
          • # of attendees
      • If <10, list everyone’s names
      • If >10, just list #
Signature w/ printed name
        • Proof of Happening--flyer, email etc.

    • Purchase Orders: need to use approved USC vendors otherwise have to go through another process (have send Erika an email for request)
      • Step 1: Email Erika to confirm that the vendor is a USC approved vendor
      • Step 2: Get quote from the vendor
      • Step 3: Get approval from OTSC through a vote
      • Step 4: Email quote to Erika prior to order being fulfilled
      • Step 5: Email invoice to Erika
